What we do

Our What Where When team helps participants stay informed and engaged during the Freezer Burn event! We are the ones that collect all the information from the sound stages, mutant vehicles, and theme camps will give attendees a comprehensive guide to all the exciting activities taking place.

We use an online submission form that allows us to efficiently gather and compile all the data into a user-friendly guide that can be easily accessed by participants. This approach not only streamlines the process of gathering information, but also ensures that the guide remains up-to-date and accurate. Overall, our efforts create a comprehensive guide of all the happenings that are available online. In addition to the online version, we also print a limited number of physical copies of the guide that we distribute at Centre Camp.

Team Dynamics

Typically a small team of 2 or 3 individuals to maximize communication. Our team interacts with a variety of different team leads to ensure we have the most up to date information form all sources.

Pre-Event Tasks

  • Monitor the dedicated email (Leads)
  • Join and utilize the Production Communication Platform, example: Slack (Leads)
  • Set date deadlines for all submission categories.
  • Gather material for the WWW
  • Events: create the online submission form for the events
  • Theme camps: communicate with the Placement lead to gather submissions from their online submission form. 
  • Sound stages: communicate with the Sound Marshal to gather submissions from their online submission form. 
  • Mutant vehicles: communicate with the DMV lead to gather submissions from their online submission form. 
  • Art grants: communicate with the ARTery lead to get all ART Grant funded projects
  • Sticker design: communicate with the ticketing lead to obtain the runner up sticker designs. 
  • Effigy design: communicate with the Effigy build team to obtain a short paragraph from them about their design, or what it means to them. 
  • Temple design: communicate with the Temple build team to obtain a short paragraph from them about their design, or what it means to them. 
  • Event map: Communicate with the Placement and Communications lead to have a final edited map created for publication. 
  • Create deadline reminders to be shared as needed
  • Review and edit submissions as needed. (editing only happens for unreasonably foul language, or references to illegal activities).
  • Gather pictures from previous years to add to WWW (if desired).
  • Create, or get submissions for cover art.
  • Organize all submissions for publishing to a digital and printable format.
  • Create the What, Where, When guide
  • Submit completed WWW to Producers for review
  • Print large copies, as well as a limited number for Centre Camp

Event Tasks

  • Bring physical copies of the WWW to Freezer Burn and post in Centre Camp.

Post-Event Tasks

  • Clean up any leftover copies of the WWW, and ensure proper disposal (Leads). 
  • Write an AfterBurn report (Leads)

Recommended Training
